The grants management and peer review process is cyclic; several cycles of reviews happen each year. Several small cycles are nested within the bigger framework, together with one-time events and special activities. Lux has Certified Meeting Planners (CMPs) on staff with experience in support for meetings, workshops, conventions, and advisory committees. This experience includes numerous Federal and private sector clients, ranging in size from intimate conferences with a handful of participants, to larger-scale events with attendees totaling in the thousands. Lux’s skilled experts are available to plan and execute a wide range of meetings and events in support of peer review, including:
- Centralized face to face reviews, where all the reviewers are to travel to a centralized location
- Field reviews, where grant applications are sent to a review location and minimal reviewer travel is required
- Teleconference reviews, where no reviewer travel is required
- On-line / Web-based reviews
Our logistics team understands how to satisfy client needs while coordinating concurrent objective review committee meetings. Our deliverables range from producing rank order lists to finalizing summary statements. Our peer review management and logistical support services include, but are not limited to:
- Database design and maintenance for conference registration
- On-line or telephone registration
- Travel coordination
- Site selection and coordination; such as conducting sensitivity searches of proposed meeting sites and dates to determine conflicts with religious, cultural, national or local events that may interfere with any aspects of the conferences/meetings
- Arrangement of hotel accommodations (blocks of rooms, meeting space, audiovisual/technical equipment, food and beverage, review materials, and agenda packets)
- Payment of Honorarium and reimbursement of per diem for travelers and consultants
- Development and/or dissemination of pre-meeting/conference notices and agendas
- Identification of special needs of participants and provision of suitable accommodations
- Site-visit support services to ensure meeting site capacity and capabilities
